Terms and Conditions

When you, the ‘guest’, make this booking you are entering an agreement with us.  Please read our terms and conditions.

 If you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a booking contract between us. A booking contract shall only arise when your booking is subsequently confirmed in writing, by us, via email.

Privacy Notice

 This Privacy Notice explains how we at Grounds Farm use any personal information we collect about you.

What information we collect about you – When you make a booking with us we collect the names of all the guests who will be staying, the home address, email address and telephone number of the person making the booking.

 How we use the information we hold on you – We will use your email address to send you confirmation of the booking. After your stay you will receive an automatic email from our booking system asking you for feedback. We will not use your telephone number to contact you unless it is for an emergency and/or we have been unable to contact you by email.

 How is your data stored – All of the personal details you supply us, as part of the booking process, is stored securely on a third party system, Supercontrol.  Neither we nor Supercontrol will share your information with any third party unless there is a legal reason for doing so.

 Guest Registration – We are required by law to keep a register of guests and their nationality.  If you are form a country outside the commonwealth we will also require a passport number and address of next destination.

 Access to your information -you have the right to request a copy of the information we hold about you. If you would like a copy of this information please email us at info@groundsfarm.co.uk

Payment processing – We accept card payments on our website and we use Stripe as our payment processor. Card details are not stored and are only used by Stripe to authorise and transfer payment. We use Jotform to
link with Stripe, this is used to collect guest contact information and to notify us that a payment has been made on Stripe.  This notification is in the form of an email.  The information on Jotform and our email system will be deleted once the payment has been acknowledged.  No card details are stored on Jotform, our website or email.

Payment information

 A deposit (25% of your total booking) is required on booking.

Cheques should be made payable to Grounds Farm.

If you wish to pay directly into our account please contact us for the bank details.

Card payments can be made using Stripe, via our website.

When we have received your booking form we will acknowledge your deposit/full payment as soon as possible. With the full payment we will also send directions and arrival details.

Provisional bookings

 Provisional bookings can be made by telephone or email.  After confirmation from us they must be followed up by a deposit/full payment sent to arrive within 7 days (10 days if the booking is made from overseas).

Deposit and final payment

A deposit is required equal to 25% of your booking. The balance is due six weeks before the start of the holiday. If the booking is made within six weeks of the arrival date, then full payment is required.


 Once you have booked your stay our agreement is a legal contract.

If you have to cancel your booking, 75% of the full amount will be refunded provided the cancellation is made at least 28 days before the date of arrival. If we manage to re let the property you will be given a full refund minus a 5% admin fee.

If cancellation is made within 28 days of arrival (or your booking is made within 28 days of your arrival date) then your payment is non-refundable. If we manage to re-let the property, you will be given a full refund minus a 5% admin fee.

We will offer a full refund, or the opportunity to reschedule your stay, if either Grounds Farm or you, as the guest, are in a government lockdown, enforceable by law.  We will not offer a refund for guest illness or guests required to self-isolate.  There is holiday cancellation insurance available to protect you against losses in this situation and we strongly recommend that you take this out before you make your booking.

Non-payment of a deposit or balance due by the specified date will be assumed to be a cancellation.

Included in the let

Towels and linen are included in the rental charge along with tea towels and bath / shower mats.  All electricity, hot water and heating is also included.


By using and/or activating the service with us you agree to be bound by these terms. If you do not agree to the terms of the agreement, do not use the service.

  • All services are provided on an “as is” basis. We do not warrant that the service is fault free or fit for any particular purpose, or that our system is secure. It is the users responsibility to ensure that your firewall and antivirus software are up to date.
  • We will always try to make the service available, but it may be interrupted, limited or curtailed due to maintenance and repair work, transmission or equipment limitations/failures.
  • You must not use the Service to download illegal or copyrighted materials.  We may terminate or temporarily suspend the Service if we reasonably believe that you are in breach of any provisions of this agreement.
  • We recommend that you do not use the service to transmit or receive any confidential information or data and should you choose to do so you do so at your own risk.
  • Parents who wish to allow their children access to and use of the Website/Services should supervise such access and use.

 Damages and breakages

 Please take care with our accommodation.  You are responsible and liable for any breakages or damages which you course to the accommodation or its contents.  Please report as soon as they occur.  We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant.

Extra cleaning

 Please take reasonable care of the property, its contents and leave equipment, furnishings, utensils etc in a clean and tidy condition on departure.  All bookings are accepted on the condition that the property is left in the same state of repair, order and cleanliness both inside and outside as at the start of the stay.

 Smoking and Vaping

 Smoking and vaping is not permitted in any of our properties

 Candles and naked flames

 Please do not use lighted candles or any naked flame inside the accommodation.  They may be used in the gardens.


 Sorry we regret no pets are allowed.


 We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of our employment.

 Access statements and safety certificates

Access statements, gas certificate (Chase Lodge) and details of our public liability insurance, are available on request.


 At any time (day or night) your cottage is restricted to the number of persons on the booking form up to a maximum occupancy of that cottage, unless prior consent has been given by the owner.  In the event that the maximum occupancy is exceeded we have the right to revoke the booking without refund.

Duration and times of letting

Your accommodation is available from 3pm on the day of arrival, and you must vacate by 10am on the day of departure, unless otherwise agreed.
